Do you need to jam every single thing you find into your document?

Not exactly.

When you’re eager to roll up your sleeves and actually start your resume itself, it’s tempting to rush through this. But take your time to lay the foundation here. 

The more detailed you can get in this step, the easier time you’ll have pulling your HR executive resume together.

3. Conduct Additional Company Research.

Understanding the ins and outs of the position you’re applying for is important, but so is digging into the organization itself.

Before you start your resume, dedicate some time to researching the company. Look at resources including:

  • Company website
  • Company LinkedIn page
  • Employer review sites
  • News headlines
  • Press releases and announcements

This will give you the lay of the land of that company. As you peruse those resources, pay close attention to:

  • Are there recent headlines or updates that clue you into the company’s future direction or priorities?
  • How many team members does the organization currently employ?
  • What has growth (particularly related to employee headcount) looked like?
  • Is this a new position or does somebody else currently hold this title?

LinkedIn is particularly helpful for understanding the company’s existing staffing and growth.

If you have a Premium account (which is a worthy investment for HR pros) click the “Insights” tab on the company’s LinkedIn page and you’ll see metrics and graphs about the organization’s employee count, distribution, and job openings.

While you’re at it, click into the “People” tab on the company’s page and see if you spot any familiar names or first connections that are currently employed there. 

You know firsthand the power of a personal referral or recommendation and leveraging your connections can go a long way in getting your resume in front of the right people.

All of these steps help you get a more solid grasp on the organization’s mission, vision, values, status, and future plans. That’s helpful context as you write your resume and can also offer plenty of fodder and conversation starters for your interview conversations.

Put simply, your resume is a marketing document designed to promote you . This step is all about digging deep into your target audience so you can market yourself accordingly. 

4. Create Your Resume Header.

When you’re ready to start writing your resume, kick off with one of the most straightforward pieces: your resume header.

Whether you start from scratch or with an HR executive resume template, your header is one of the easiest pieces to fill out. It goes at the very top of our document and covers the basics, including your: 

  • Relevant professional designations you’ve achieved (for example, PHR)
  • Email address
  • Phone number
  • Location (your city and state instead of your full mailing address)
  • Headline or target job title

It’s simple enough. But here are a few other best practices to keep in mind as you complete this section: 

  • Make your name stand out: What’s the most important piece of information on your resume? Your name. For that reason, put it directly at the top in a bigger and bolder font than any of your other content. You want it to be the most attention-grabbing thing on your document.
  • Leverage your headline: Your resume headline uses only a few words to explain what you do. Tailor this to the job you’re applying for by swapping in keywords or even the exact title they use for the position. For example, you could write “Human Resources Leader” or “Experienced Human Resources Executive.”
  • Include your LinkedIn profile: A whopping 95% of HR managers at top U.S. companies have a LinkedIn profile, proving it’s somewhere you need to be when you work in human resources. Take some time to knock the cobwebs off your profile and then include your LinkedIn URL in your resume header. Make sure to clean up your URL by viewing your profile and clicking the pencil icon next to “public profile & URL.”

5. Fill In Your Work History.

Particularly when you’ve reached the executive level, your work history will take up the largest portion of your resume.

You’ll list your roles from the past 10-15 years in reverse chronological order, with the most recent one at the top.

Start by getting the basics down: your job title, the years you worked in that position, the organization’s name, and the location.

Underneath that, include a brief description of the organization as well as the role you filled there. Here’s what that can look like on an example HR executive resume:

It takes a little bit of extra time and space, but it helps set the scene before you get into the nitty-gritty of your responsibilities and achievements in that role. 

Your bullet points go below that overview. 

But keep in mind that you aren’t just giving the rundown of the work you did—you need to emphasize why it mattered . Quantifying your accomplishments is one of the best ways to do that. Start by jotting down your role and then ask yourself questions like:

  • What size teams did you manage?
  • What policies and procedures did you institute or refine?
  • What improvements or outcomes did you achieve?
  • What goals did you meet or exceed?
  • What processes did you create or overhaul?

Those channel your focus from the work you did to the results you achieved, which is the frame of mind you need to be in to write impressive job history bullet points. You can also refer back to the third column in the table above. 

Here’s a general template you can follow to craft your bullets:

See the difference? If it’s easier, you can break your bullet points into two separate categories: one for your responsibilities and one for your achievements. Or, you can integrate them all into a single list of bullets—it’s’ up to you how you want to approach it. 

Here’s an example of how you might separate the two:

  • Developed and implemented HR policies and procedures to support company objectives and ensure compliance with legal requirements
  • Created and oversaw all recruitment and talent acquisition strategies, including candidate sourcing, interviewing, and new hire onboarding
  • Crafted a compelling employer brand to engage applicants, improve employee advocacy, and position the organization as a desirable place to work.

ACHIEVEMENTS: 

  • Developed and implemented a “Quickstart” employee onboarding process to orient new hires, achieving a 23% decrease in employee turnover in the first 90 days and improving time to productivity by 15%
  • Overhauled recruitment strategies for new grads, pivoting from a core schools approach to a skills-based approach that increased candidate diversity by 35%
  • Instituted a continuous performance management process, improving employee engagement scores by 27% 

Struggling to fill this section out? Return to old emails, reports, performance reviews, recommendations, and more. Those can jog your memory about tangible things you achieved in your past roles.

6. Write An Employment Summary.

Writing out all of the details of your work history requires a lot of elbow grease, which means this section will feel like a breeze in comparison.

This is essentially a sneak peek into your previous positions that goes near the top of your document. It lists only your job title, employer, and the years you worked there so hiring managers can gain insight into your past roles and experience without having to scroll or flip through all of your work history. 

For that reason, it’s only worth including if you’ve held more than three roles. Here’s an example:

7. Emphasize Your Skills.

It’s time to turn your attention to the skills section. Start by returning to the notes you took from the job description to refresh yourself on the competencies that the position is asking for. Think you should just list those in a simple bulleted list on your resume? Not so fast. It’s not enough to parrot the job description—especially since all of the other applicants are likely using the same terms. 

Instead, add some extra color and context by including a one-sentence description or even a real-world example with each skill. Take a look at the difference that can make:

Your education section is another fairly straightforward piece of your resume. It lists your degrees and certifications in reverse chronological order.

If it ranks highly in the requirements like with this job description, then it’s smart to put your education section near the top of your resume:

But if education doesn’t get as much emphasis in the job description, then you can move this section toward the bottom of your resume. 

9. Write Your Professional Summary.

Take a deep breath and roll your shoulders, because you’re almost done—you’re on the last piece of your resume.

 Doing all of the other sections first gives you a crash course on everything you’ve done in your career so far, which makes it easier to write your resume summary.

Your professional summary—which you might also hear called your career profile, professional profile, or another similar term—goes at the top of your document directly under your headline. 

It’s essentially your highlight reel, calling attention to the most relevant and impressive qualifications you can bring to that job.

It’s another area where tailoring and targeting will carry a lot of weight, so look back on your notes from the job description and the comparisons you made to your own experience. 

Challenge yourself to highlight three to five things from that table that absolutely need to be included in your profile. Then, use these tips to write a summary that’s every bit as impressive as you are:

  • Be specific: Skip the generalities and vague language. Be crystal clear about what you’ve done and accomplished. For example, if you have expertise in a specific industry, name it.
  • Use first-person language: Your resume doesn’t have to be stuffy and devoid of all personality. Writing your summary in the first-person feels less stiff and robotic and more like a human introduction.
  • Emphasize your achievements: Again, relevance is key here. Choose one or two that are most closely-related to the position and add them into your summary so they’re unmissable for the hiring manager.

You have everything down on paper. But before you submit your resume and cross your fingers, set aside some time to carefully edit and refine your resume. Don’t rush through this process. In fact, it’s best to take a break—even if it’s just an hour—after writing your resume before moving into the editing process. That can help you come back feeling refreshed and clear-headed. Here are a few tips to help you catch all of the possible typos and mistakes as you proofread your HR executive resume: 

  • Read from the bottom up: It’s a trick for your brain that forces you to look at each sentence individually rather than glossing over them. You’ll catch more errors that way.

A strong human resources resume needs to have bullet points detailing how you’ve led teams to success, improved company culture, and implemented new strategies at places where you’ve worked in the past. Let’s look at a couple examples of weaker and stronger bullet points.

This is a weak bullet point because it contains very little information and raises some questions. In what way did you help with the hiring process? What part did you play? How many people did you hire and how did it impact the company you worked for? More details and stronger language would help make this point more compelling.

  • Interviewed, hired, and onboarded 150 new trainees during first year on the job.

The above bullet point is much stronger than the first example because it a) leads with a strong action verb, b) specifies what role you played in bringing new trainees on board, and c) quantifies how many people you hired. An achievement like this one looks much more impressive on a resume and is more likely to catch a recruiter’s eye.

There’s no secret on the first component of your resume. You should include your contact information on the top of the page, emphasizing your name but making sure that this section doesn’t take too much space of your resume.

You should include:

  • current address
  • phone number
  • professional email

Academic Background

The second section of your resume should briefly highlight your education. 

Most human resources jobs require at least a bachelor’s degree in human resources management, business administration or a related field. Some intermediate and senior positions require a master’s degree.

I’ve seen a few people trying to stand out on this section by adding coursework, and even projects they worked on while they were in college. But let me tell you: this section should be kept simple.

The reality is that recruiters just want to know whether your human resources knowledge started with a solid foundation or not. You should include:

  • Educational institution name
  • Degree or program
  • Field of study
  • Years of completion

Wondering about the GPA? 

Well, if you are applying for an entry-level position and you have a GPA higher than 3.5, then it is a good idea to include it. If that is not the case, save the seconds you have to shine on the other sections.

Remember the 6 seconds you have? If you can convince the hiring manager that you are a good fit with the profile statement, there is a good chance that these seconds will be extended to a more careful read.

To catch the recruiters’ eyes, you must list the most relevant skills for the job. The best way to do that is by looking at the job description and finding out what are the skills necessary to succeed in the human resources position that you are applying for.

Some job postings include a “required skills” section, which makes it easy for you to understand what particular qualifications to showcase on your human resources resume. 

Once you find out what skills are crucial for the job, make sure to make them as specific as they can be. For example, instead of adding “communication skills”, you can add “conflict-management” as a skill.

Tailoring your skills to the job that you are trying to land will help your resume stand out from the other candidate’s resume.

You don’t have to include all the responsibilities that you had in your previous jobs. Instead, add only the ones that are meaningful to the HR job at stake.

This section highlights your previous experiences—whether in a formal job, internship , volunteer work , or other roles—demonstrating your achievements and capabilities.

To make an impact, you need to strategically tailor your experiences and skills to align with the job you’re applying for, showing recruiters that you’re a perfect fit for the role.

Job descriptions for resumes: Why does it matter?

When you apply for jobs , you'll see a description of the role and what the company is looking for. To really stand out, your resume should match those requirements as closely as possible. That’s where the job description section comes in handy. It’s your chance to highlight past experiences and make sure they align with the job you’re aiming for.

Your resume job description should include:

  • Company name
  • Date of employment
  • Responsibilities and achievements

Of course, this section alone won't land you a job—your whole resume should be written to impress the recruiters. However, when you're an experienced professional, even if you're not a senior in your position yet, well-written job descriptions can at least guarantee you some interviews .

How to write a resume job description in 4 steps

The following tips will give you some insights into what this section of your resume should look like—and what hiring managers are looking for in candidates' resumes.

1. Start with a clear heading

If you're not new to resume building, you probably know that each section of the file should have a heading . It should be clear and concise, telling the recruiter exactly what they're going to read next.

2. Lay out basic info about your role

Next step is filling out the experience section —or whatever you decide to name it—with your professional background. You'll always start with basic information from each job (or internship, volunteer work, and such), like your title, the company name, location, and date of employment.

For example:

You can change the order as you see fit—for instance, putting the company name first and your title second. However, it's important to keep the same formatting throughout the resume, so be sure your choice works well for every experience.

There's no set amount of experiences you should include in your resume. But keep in mind that, ideally, it should only have relevant and recent experience, listed in reverse chronological order (from the most recent to the least recent). Additionally, most recruiters prefer a one- to two-page resume , max.

3. List achievements instead of tasks

Now, it's time to write the actual job descriptions. It's typically ideal to use bullet points and one to two sentences for each. As a standard, most resume templates have three to four bullet points for each experience, but you can use more (or less) as long as the information is relevant and you're not simply trying to fill out the page.

In describing your role, avoid falling into the trap of only listing job responsibilities. Muse career coach Andrea Gerson says that candidates should expand task-focused language into action-driven, accomplishment-oriented information.

For example, instead of writing “Performed X, Y, and Z,” try “Performed X, Y, and Z, which led to [achievements].” “This information showcases your capabilities—which is exactly what employers want to see,” Gerson says.

A commonly used formula to describe accomplishments within your roles is the context-scope-outcome strategy. You start with action verbs , show how you fulfilled each responsibility, and finish with an achievement that resulted from those actions. If possible, present your achievement with a quantifier , meaning metrics or numerical data that illustrates the impact of your work.

If you have a hard time identifying your impactful actions and accomplishments within your job responsibilities, Gerson suggests asking yourself these contextual questions:

  • What was the setting I was working in?
  • Was it a fast-paced pizzeria? If so, how many customers were served on a daily/weekly basis?
  • If it's a smaller company that's not very well-known, what products or services did they provide?
  • What was their scope of operations? Local, regional, global?
  • Who was their target customer base?

4. Describe the company in the first bullet point

Your resume job description could also benefit from including some relevant context about the companies you previously worked for, such industry, size, or differentiating factors. You can add this info within the first bullet of a position—which is called an introductory bullet.

Bonus tip: Use keywords from the open job description

These days, most hiring managers use application tracking systems (ATSs) to segment and quickly scan resumes to select the best based on their similarity to the open job description. This similarity is determined by keywords .

Keywords are specific phrases or terms within a job description precisely used to describe or explain responsibilities, skills, abilities, and knowledge the employer is looking for. These terms usually repeat throughout the job listing, signaling their importance for that specific role.

Job Description and Duties

The CalSTRS  Accounting Division  is seeking a motivated individual to work as  a Financial Accountant I  in the Contributions Unit. 

The Operational Accounting Division is comprised of three units: Billings and Collections, Disbursements and Taxes, and Contributions. These areas focus on accounting for CalSTRS “cash collection” cycle; “procure to pay” cycle, “disbursement” cycle (specifically timely distribution of retirement checks as well as issuing member refunds), as well as, accounting for contribution activities.

The Contributions Unit manages employer contribution accounts including receivable collections, contribution returns, as well as penalties and interest, assessments and disputes. The unit also monitors and analyzes contribution revenue and prepares revenue accruals. Under the general supervision of the Contributions Manager, the Financial Accountant I (Supervisor) managers the increasingly complex operational controls and collection processes on contributions for CalSTRS that impact pension and investment accounting activities and decisions. The Supervisor assists the Contributions manager and Assistant Director of Receivables, Billings and Contributions with complex accounting activities, internal control analyses and contributions reconciliation that have substantial impacts to the organization. The incumbent manages a team of professional accounting staff who perform complex internal control functions on over one million reporting transactions a month and provides improvements on the automation of CalSTRS financial system (BusinessDirect – BD) as it relates to contributions revenue and maintenance of existing and development of the new pension system. This FA I also works closely with the Treasury & Banking Management unit to produce case projections for liquidity management to support investment accounting activities.

The ideal candidate will possess the following skills: 

  • Accounting or financial services industry operations experience.
  • Experience working with SAP (or another similar ERP system).
  • Experience with project management and ability to oversee multiple on-going tasks.
  • Experience managing staff effectively.
  • Ability to independently plan and exercise initiative and flexibility.
  • Skills to communicate effectively with individuals and groups, both orally and in writing.
  • Ability to establish and maintain cooperative working relationships.

Every 12 months, based on performance evaluation, employees may receive a 5% salary increase until they reach the maximum salary for the position.

Telework Information: CalSTRS  offers a hybrid approach including in-office and remote work solutions with staff working on-site at  our Headquarters in West Sacramento 2 days per week .

Additional Salary Information

All civil service positions have salary ranges with minimum and maximum pay rates. Typically, employees who are new to civil service are appointed at the minimum rate of the salary range for the position. Special provisions for appointments above the minimum exist to meet special recruitment needs and to accommodate employees who transfer into a position from another civil service position and are already receiving salaries above the minimum.
