How to Make a Professional Presentation in PowerPoint Quickly

You don't have to be an expert to make an amazing professional presentation of your own. The best way is to use a template from Envato Elements. You can customize these in only five quick steps.

1. Select Your Slides

A professional presentation template like this includes dozens of slides. Odds are, you won’t need to use every single one. Working in PowerPoint, go to the View tab and click on Slide Sorter .

Here, click and drag slide thumbnails to rearrange their sequence. You can also right-click on them and choose Delete Slide to remove unwanted layouts. When you’re finished, click Normal on the View tab to start editing.

2. Customize Text

Any professional presentation will include plenty of text. To customize the text in this template, you can work with the built-in text placeholders. To start, click into any text box. Then, press Ctrl + A ( Cmd + A on Mac) to select all the text inside.

Then, start typing in your own content. The placeholder text will vanish, replaced by the words you type in. Repeat throughout your slide deck, and you’ll be on the way to a professional presentation in no time.

3. Insert Images

No professional presentation is complete without some images. These are easy to insert. Find a slide like this with an image placeholder on it.

Then, browse to an image file stored on your computer. Drag it over the placeholder and drop it into place. PowerPoint will import the image onto the slide, already sized and scaled perfectly.

4. Build Infographics

Infographics work like any other slide in the presentation. Replace the text with words and numbers of your own, click and drag to move objects around, and more. It only takes a few clicks, but it helps guarantee you a successful presentation.

5. Change Shape Colors

A pre-built template will include its own default color palette. But you can easily change out individual parts of it. With a shape selected, find the Shape Format tab on PowerPoint’s ribbon.

There, click on the Shape Fill dropdown. You’ll see a color chooser menu appear. Browse the theme colors, along with gradients and more. Click on any color to apply it to your shape.

5 Quick-Fire Tips for More Professional Presentations

Let's start off by reviewing five of my favorite professional PowerPoint presentation tips. These are great reminders to start with when you're preparing to speak.

1. Practice Really Does Make Perfect

Practice makes perfect It's a well-known piece of advice for a reason. A well-rehearsed presentation helps you come across confidently and resonate with the audience.

Not all practice is created equally though. Here are professional PowerPoint presentation practice tips:

  • If possible, rehearse in the same room that you plan to present in. This gives you a sense of familiarity for your presentation.
  • Use  speaker notes   in PowerPoint to keep your key talking points in view while presenting.
  • Use a cell phone to record an audience perspective on your presentation. It helps you understand how you'll appear to your audience.

2. Stick to "One Big Idea"

Many presentations will overwhelm you with data and details. In an attempt to persuade, presenters include too many reasons and talking points.

By the time the presentation reaches its conclusion, your audience may be so overwhelmed with ideas that they'll have missed your most important points.

As a presenter, it's your job to be clear. Stick to the key idea that you're presenting to make sure that your audience doesn't get lost in the details.

3. Don't be Afraid to BLUF

Sharing a big idea is important, but where you put it is also essential. That's why you should put your  Bottom Line Up Front , also known as the  BLUF  principle. Put the bottom line (the key idea) near the beginning of your presentation.

Books and movies take you through a journey that ends with a conclusion. Presentations should give you the answer up front and explain that conclusion with the following slides.

The  BLUF  principle reminds me to cut to the chase when sharing the most important part of a presentation. Get straight to the heart of the message before your audience is distracted or exhausts their limited supply of attention.

4. Include Professional Presentation Graphics

For professional presentations, your audience might be more analytical than the average viewer. They're more inclined to view PowerPoint charts and graphs and derive meaning from them than talking points.

Graphics and charts are the quickest way to convey a point. Consider using bar charts and line graphs to show trends and key statistics that reinforce your point.

5. Use Presenter View

My final tip is one that enables every other professional PowerPoint presentation tip we've already shared. By using  Presenter View,  you'll have a view of all the key tools and features in a single view. That means you'll have your speaker notes, a preview of the next slide, and a timer that helps you stay on track.

Most presentations are delivered in rooms with more than one screen. Presenter View  shows your presentation on one screen that your audience sees. On the second screen, you'll see helpful information to presenters.

To turn on  Presenter View , jump to the  Slide Show  tab, and make sure that  Use Presenter View  is ticked. When you start to present, you'll see two different views.

In  Presenter View , keep your eye on a few key features as you can see in the screenshot below. Speaker notes live on the right side and help cue up your key talking points. The next slide preview is also a great prompt to help you direct your speaking flow. And finally, don't forget to keep an eye on the timer to stay on track.

The Shortcut to Making Professional PowerPoint Presentations

Even if you know exactly what you want to say, building out the supporting PowerPoint slide designs is a serious effort. Opening the app and starting off with blank slides is a major challenge.

Time is always short when preparing for a presentation. Don't build something from scratch or use a limited built-in PowerPoint theme. Instead, use professional  PowerPoint templates.  You can buy and download these Premium designs, then add your own content to them quickly:

How to Make a Professional PowerPoint Presentation (With a PPT Template)

For this example, we're going to pretend that we're building a slide deck to encourage someone to invest in our company. This could be for your startup company or even for a small, local business to get things off the ground. 

Professionalism matters when you're asking for funding. I'm going to highlight five key slide designs that you'll find in decks like these. Even if your presentation idea is totally unrelated, these ideas might help you design your own.

1. Introduce Your Team

It's often said that investors invest in teams, not products. While both are required to secure financing for your idea, the point is that investors often focus on the team and their background.

To do this, I'm going to recommend Motagua slide design #77 . This is a slide with four placeholders for your team's photo and descriptions.

I almost always recommend that a presentation about a product or service includes the team. Build that level of comfort with your audience so that they'll think of you first when they're ready to invest or buy.

It's not about where your product or service has been, but where it's going. If you're expecting investment or growth in your business, the investors are betting that the future holds more promise than the present.

One idea for showing this visually is to use slide design #149, which is an Arrows Infographic .  This is a nice-looking design with many points for how your product may evolve.

This is a general-purpose slide that could be used for showing any key points about your business.  But the numbers make it ideal for showing a progression. Sharing the vision for your product near the beginning of the presentation is a great application of the BLUF mindset.

3. Show Key Statistics in Data With Charts

For startups, one of the most important things to show is your company growth with good data. For businesses that aren't yet earning revenue, investors are betting that a large userbase will eventually lead to customers.

A chart is a great way to tell a story without any bullet points involved. For the analytical minds in the audience, a well-placed chart may be the "aha!" moment that they need to see your vision.

Slide design 138 has overlapping circles that you can show the opportunity for your startup. Use the smallest circle to show your current revenue base. Larger circles can show the potential if you expand to a new market or develop new products.

If your idea hasn't even started yet, consider showing statistics or data on how the  need  for your product is growing. You could include data about the size of the potential customer base, or the growth of similar services.

4. Use Graphic Timelines to Illustrate the Future

Again, investing in a business is all about the future. A timeline can illustrate not only the history of a product, but the future development timeline of the features you plan to add.

Slide 60  is the perfect way to show the road map for the product. You can use the points to illustrate new features you've recently added or plan to add in the future.

5. Make Your "Ask" Clear

You've built up a vision and you're ready to reach a major conclusion. This could be the make or break moment to inspire action in your audience.

For our example, let's assume that you're going to ask for investment in your company. Near the end of a presentation, you could use a simple slide design like  21  to make the fundraising goal clear.

For startups, this is often expressed as "$x at $x valuation." This means that a company raising $1 million wants to be valued as being worth as $10 million, effectively giving 10% of the company to investors.

Part 1: How to prepare your content

Presenting and public speaking are skills that can truly transform your career or business. They may not come naturally to you but, no matter what level you are at, it’s not that hard to become better at them.

All that is required to upgrade your presentation and public speaking skills is to:

  • learn a few tips and tricks, as you will find in this series of articles;
  • accept the initial discomfort of working outside your comfort zone;
  • understand you may not be perfect at first (in the same way as with everything else you once started learning in life);
  • use every opportunity to practice.

Just imagine what might be possible if you became more confident in presenting; if you were able to engage and influence an audience with your words, gestures and passion. As you improve your public speaking skills, you may even find yourself enjoying presenting.

In this series of articles, I will share my tips for creating and performing a top-notch presentation, whether that’s at work, in your business, social club or any other setting. They work for me and my career coaching clients, and I am sure they will work for you too!

Here is what I am going to cover in the four parts of this series:

So let’s start with Part 1: How to create your content.

1. Know your desired outcome

Start with the “why”. Why are you giving the presentation? The clearer you are about the outcome you want to create, the easier it will become to prepare an effective presentation.

An outcome of a presentation could be, for example, to:

  • gain approval for a project
  • make a sale
  • communicate a new corporate policy
  • collect ideas
  • motivate the audience

Whatever your desired outcome, make sure that your presentation is focused on it and, where appropriate, communicates a specific message, call to action or request. At the end of your presentation, there should be no doubt about your message and what you want your audience to do.

2. Know your audience

It’s not rocket science to know that you need to adjust your communication style to your audience. If you speak to a group of software programmers, for example, you will probably use very different language than if you were to speak to a group of nurses.

Yet there is more to knowing your audience than adapting your language to theirs. I recommend that you put yourself in their shoes and try to understand their priorities and values. People are mostly interested in subjects that are relevant to them. The key to getting their attention is to position your agenda in their value system. You will create a much better engagement.

You may, for example, think that your presentation about the upcoming changes in data protection law is highly interesting; but your audience will probably nod off if they do not understand how those changes will impact on their life or business. Your job is therefore to help them see how understanding the upcoming changes in data protection law will help them hit their goals in business. Keeping them out of prison and preserving the value of their customer databases could be possible angles to get their attention.

The clearer you communicate how your content is relevant to your audience, based on their values and priorities, the easier it will become to engage them.

3. Collecting ideas

Once you know what you want to achieve with your presentation, and what your audience might be interested in, you are all set to create the content.

I usually start collecting ideas using mind maps (see: https://en.wikipedia.org/wiki/Mind_map ). It’s a creative way of gathering thoughts for a talk. It involves randomly writing down in a diagram whatever comes to your mind in relation to the topic of your presentation. You do this without any particular order to avoid restricting the flow of your imagination. Once I have collected enough ideas, I group and structure them in a logical sequence.

4. Creating a structure

I have heard people saying that an audience cannot remember more than three key messages. I am not sure how scientifically proven this statement is, but it makes sense to me.

I therefore like to stick to the following formula: I decide on one top-level message and break it down into three subpoints. To make those points really stick, it’s worth repeating them several times:

  • At the beginning of your presentation, you tell the audience that you will cover points A, B and C.
  • Then you tell them about points A, B and C in detail.
  • At the end, you summarise points A, B and C.

If you stick to the simplicity of this structure, it will be easy for your audience to follow you and they will be more likely to remember your key points.

5. Pre-empt objections

Once you have completed the first draft of your presentation, put yourself in the shoes of your audience once more and think about all the objections or questions they may have. Then either improve your presentation to cover those points, or have answers ready for the questions that will come.

There is one more crucial element to creating your content, which is to include special elements that hold the attention of your audience and prevent them from nodding off while you are speaking. I cover this in Part 2 of this series of articles.

Top Lessons for Top-notch PowerPoint Presentation Design

It’s back to school time again. In honor of the most wonderful time of the year – if you’re a parent – we’re reviewing our top lessons learned (since last September) for creating top-notch PowerPoint presentation design.

Organize first

There’s a lot of information out there these days, which is why organizing your message and supporting data is always the first step of any PowerPoint presentation design.

It’s generally agreed that there are only five ways to organize information, i.e., according to: location (i.e., space or place); alphabetical; time (e.g., timelines, directions, sequences); category (i.e., types of information); or hierarchy (e.g., newest to oldest). You can use more than one of the above categories at a time to organize your information. Find out more.

Your second step is to determine how best to visualize the categories you’ve chosen. Some of the tips below will get you started.

Create your own work of art

To inject some individuality into your PowerPoint presentation design, you can create your own artwork using software like Adobe Illustrator or Corel Draw and then quickly and easily import it as an .emf file directly into PowerPoint.

The beauty of doing this is that, once in situ, you can manipulate details like fill color, line color and shape all within PowerPoint, so you don’t have to go back and forth when you want to make alterations. And, you can do it all without losing any of your artwork’s original quality. Find out more.

Add video for credibility

For a presentation to be effective, it must be believable. Examples are a great way to make you and your message credible. And using video is an easy way to show examples. It’s also a good way to make your presentation stand out from the bullet-point crowd.

But be wary of video (or other multimedia components) that don’t feed into your unfolding story in a seamless way. Playing a video during a presentation can disrupt story flow if it isn’t carefully integrated into the design.

There are lots of effective ways to add video to your PowerPoint presentation design, and even tools to help you style your videos by adding effects like frames, tilts, shadows and reflections. Find out more.

Include infographics for clarity

Infographics are the perfect visual tool for PowerPoint presentation design as they make it easy to distill large amounts of information into easily-read and quickly-understood visual content.

The first and most important step in creating an infographic is to make sure it’s appropriate for your information. Simply because you have a lot of charts, images and copy you want to use, doesn’t mean they will work as an infographic. All those elements need to be a part of a single concept or story.

For example, we created an infographic to explain the recent changes to the US Tax Code. This infographic designed in PowerPoint ® by eSlide, in partnership with Presti & Naegele Accounting Offices, highlights some of the key changes to the tax code and makes them easier to understand through the use of effective visuals. It’s a great example of the effectiveness of infographics. Horn tooted!

Choose color wisely

Advertisers place huge importance on color choice because colors conjure up emotions. Think of Coke’s red or Home Depot’s orange. Colors are a powerful way to create feeling and the biggest global brands understand this.

Color can give your audience the right feeling – the one you want them to have – or make them feel a way you hadn’t intended. For example, if you need to elicit excitement about exceeding first quarter sales targets, make sure your color scheme demonstrates excitement. Red does this well; blue doesn’t. It’s important to know which colors evoke which emotions and stick with the ones that work for your purposes.

Color is a great way to add more punch to your presentation, and when used properly, can help to make your message distinct and memorable. Find out more.

Don’t forget your fonts

A big part of your total visual package is the font you choose for your PowerPoint presentation design. It’s more important than you think.

Sans serif fonts – the ones without the tiny tails (or ligatures) at the end of the letters – are the best choice for PowerPoint presentation design. Fonts like Arial or Calibri are better for headlines, taglines, and bits of info that need to capture the eye’s attention.

PowerPoint comes fully loaded with lots of great fonts. Try to stick with what’s there, rather than importing something fancy from left field. Using non-standard fonts will likely cause compatibility problems when sharing presentations among colleagues, clients or using presentation equipment at conferences. 10 Tips for Creating Top-Notch Presentations

Steve Jobs was arguably one of the best presenters to ever grace a stage. His presentations were inspiring. In fact, every one of his speeches received a standing ovation from the audience. The secret behind his success was a series of steps he routinely followed.

I’ve developed my own steps for successful presentations—and I’m sharing all 10 of them here.

TIP ONE: STORYBOARD WITH PEN AND PAPER

Most of us are so accustomed to using computers that we forget about the benefits of using pen and paper to brainstorm and organize our thoughts. There’s something particularly helpful about drawing your ideas, organizing your thoughts and changing the order of your paper slides—all before you even touch your keyboard.

When I design my keynote presentations, I do everything on paper first. It helps me design slides and sharpen my focus.

TIP TWO: CREATE A SINGLE SENTENCE DESCRIPTION FOR EACH IDEA

Long-winded descriptions in a presentation are confusing and distracting for your audience. Instead, condense your descriptions so they are shorter than the historical 140-character tweet. Not only is this approach easier to understand, but also it’s more aesthetically attractive on a screen.

I want the focus to be on me and my ideas, so 90% of my slides are usually just one to three words.

TIP THREE: CREATE A VILLAIN

Audiences react to a force that opposes them and often lean toward a hero. Make your services or brand the hero and create an arch nemesis your brand can defeat. It’s a classic strategy for film and storytelling.

Consider yourself the storyteller of your brand, and create a story for your brand with a clear villain for people to rally against. The options for potential villains are endless. It could be a certain type of consumer. Maybe it’s the old way of doing things.

TIP FOUR: FOCUS ON BENEFITS

Your audience cares little about characteristics of your product or what makes your product great compared to the competition. They do care about how they will benefit from your product or service. Make sure to focus on what matters to them, not you.

In all of my presentations, I put “about the company” near the end and the benefits to the audience at the beginning.

TIP FIVE: STICK TO THE RULE OF THREE

Three is a magic number. It’s large enough to give credibility to what you are saying, but small enough that your audience can remember the points. If you go beyond three points, your audience won’t remember your message.

TIP SIX: SELL THE “WHY”

People don’t buy services; they buy the “why.” That means they buy better lives for themselves and for those they care about. So forget your services and sell the “why” from the perspective of the consumer.

TIP SEVEN: VISUALS ARE MORE IMPORTANT

Steve Jobs never used bullet points. They are too commonplace and add little to your message. Instead, focus on images and graphics to communicate your concepts and connect with your audience. It’s proven that people remember imagery better than they do words .

In my presentations, almost every slide is an image. Often, it’s just an image without words.

TIP EIGHT: MAKE NUMBERS MEANINGFUL

Whenever you mention a statistic, make it meaningful to the audience. The larger the number, the more important it is to place that number into context. Keep the number on the screen, but talk about it. Remember, keep the focus on you.

TIP NINE: DON’T USE JARGON

Not all of your audience is going to know your industry jargon. If you use acronyms or insider terminology, your audience will likely tune out. Instead, use plain English to ensure everyone understands you.

TIP TEN: PRACTICE, A LOT

Steve Jobs spent hours practicing  his presentations until they were perfect in every aspect. This made his presentations look effortless, though it came at the cost of hours of work. Practice at least 20 times—out loud. Walk like you were on stage. The more you seriously practice your part, the more confident and comfortable you will be.

6 Ways To Give A Top-Notch (And Engaging) Presentation

If you want to increase your presentation skills and keep everyone in the room engaged — while helping you either close a deal or get you noticed by upper management — remember one thing: it’s not just what you say, it’s how you say it. You can cover all the points in your talk, pitch or lecture, but if you drone on and on and don’t engage people, your work won’t get you noticed.

Follow these tips to create top-notch presentation skills to boost your career and make you a pro at public-speaking.

Research Your Audience

The first step in creating a top-notch presentation is to find out what your audience wants to hear. That’s different than deciding what you want to tell them.

Sure, you can still have an agenda — such as making a sales pitch or informing co-workers of a new company launch — but you need to make sure you emphasize the things that are important to your listeners.

Researching your audience means going beyond who they are. Find out their pain points. What do they need help with? How can you make them more successful? Why is what you’re presenting important to them? Once you know this, you’ll know what to emphasize in your presentation.

Research Your Topic

Back up what you’re saying with facts, figures, data and news, not with personal opinion that’s unsupported. Places like government , academic and industry websites should be your best friend, as these are places with industry experts that support your claims and give your audience more bona fide information.

Ask some of your potential attendees what they want to learn and what they’ve heard about the topic recently. Make sure to see what others who have presented your topic have included in their talks, and use a similar structure.

Organize Your Presentation

Whether you use a dry erase board, flip chart, handouts or a computer program, building your presentation skills lives or dies with content organization that includes an overview, the main body and a recap. Start your presentation by using a simple outline, list the main points you want to make, then include sub-heads that support what you’re saying in your main categories.

It’s important to use various tools to deliver your message while looking to build your presentation skills. That will avoid making all of your information start to sound the same, run together and create a drone-like effect.

PowerPoint is still a go-to presentation tool for many people, but there are plenty of other ways to showcase your information. Also, switching back and forth between PowerPoint, a dry erase board, enlargements and props (like product samples) helps break up your talk and make it more interesting.

Avoid giving attendees detailed handouts early in your presentation. They’ll start reading them and miss what you’re saying.

Practice Your Presentation Skills Beforehand

Prepare your presentation early enough so you can practice it and improve your presentation skills before stepping to the plate in front of the real audience.

Start by timing your presentation by reading it out loud, paying close attention to how fast you’re talking. You’ll be more nervous when you deliver your talk live, and this often leads to talking faster. If you have an hour to fill, don’t assume the time you use during a practice run is the same amount of time you’ll use to deliver your talk for real.

Record at least one pass of your test runs so you can hear what you sound like. Do you speak in a monotone? Do you get nervous and start speaking fast, which causes your voice to rise? If so, practice speaking low and slow.

Practice eye contact, moving your gaze to different areas in the room, including side-to-side and close and farther back. Make sure to add plenty of short pauses when you speak, especially after long statements.

Set Up The Room Correctly

Ever fall asleep during a presentation? You’re not the only one. Drowsiness isn’t triggered just by boring speakers, other factors do, in fact, play a big role — like poor lighting.

If you turn off the lights in your room for a video presentation, attendees’ brains start releasing melatonin, which causes drowsiness. If possible, only turn off the lights in the front of the room above your viewing screen.

If your room will be full of people, the room temperature will rise once they start filling the room. Keep the temperature cool before they arrive to account for body heat.

Make sure people in the back of the room can hear you and see your smallest on-screen text or charts.

Remember, organization is key. When you put lots of effort into a presentation, you don’t want anything to interfere with your message. Take time to manage anything that can affect your talk, including your organization, speaking manner, delivery tools and room factors.

Making sure you put your best effort into the “how you say it” part of presentations will make you stand out as a potential management candidate who is polished and professional.

Having top notch presentation skills is integral when trying to convey ideas and educate your audience. The key is doing so in a way that retains your audience’s attention while selling the ideas, projects and concepts you are speaking about. Your audience is choosing to listen to what you have to say. Use their time wisely!

Here are 5 top notch presentation tips:

1. Tell a story. Take the time to really plan  your presentation. Tell a story you’re passionate about and set clear goals as to what you want your presentation to accomplish.

2. Less is more. Realize you can’t possibly communicate every single thing you know in your presentation, so choose the most important parts and articulate them clearly. Keep the slides and visuals as simple as possible, focusing on key messages.

3. Prepare and practice . Know your materials inside and out, backwards and forwards so that you’re comfortable presenting without a presentation. If you’re confident conveying your message, your audience will be more comfortable and willing to receive the information.

4. Think in 10 minute increments. Research has shown that the brain gets bored after 10  minutes. Design your presentation to provide “soft breaks” like showing a video, revealing a comical or unusual image or asking your audience a question.

5. Details. Details. Details. Nothing is more embarrassing than an evident typo or unmistakable formatting error on a visual aid. A simple grammar and spell check will go a long way in producing professional looking deliverables to your clients. Keep your font sizes consistent wherever possible and be sure to consider what your presentation will look like when it’s projected, which can be very different than on your desktop.

How to Deliver Presentations That Are Awe-Inspiring, Not Yawn-Inducing

I just returned from Michael Stelzner’s Social Media Marketing World conference, and had the chance to meet with some exceptional marketers and attend some captivating sessions.

My time there got me thinking of a few things, one of which was … what about the greatest sessions made them so great? Why were the best speakers , well, the best?

What an astute question. If you have to give presentations -- whether in front of your CMO or a keynote address in front of thousands -- these are the things your audience, whether they know it or not, really wishes you were doing. These tips will help you deliver a top-notch presentation, and ensure your audience leaves that room awe-inspired.

Let your guard down. Get personal.

Assume all your audience knows about you is what's in your bio. If you have a bio. And even if you have a bio, most probably haven't read it.

So really, assume they know nothing.

You have some authority just by virtue of being on stage, but it isn't enough to seize the audience's undivided attention. To grab their ears, you have to grab their hearts. And yes, I heard how corny that sounded in my head, but I'm going with it.

Generate some empathy by letting your guard down and allowing your audience to see who you really are. Be genuine. Tell them a story about yourself -- one they can relate to. It takes courage to share something private about yourself, but that's exactly why it helps captivate an audience.

Remember, the audience is on your team. They want you to succeed. Just think back to any presentation where the speaker bombed, and you'll remember how painful and awkward that was to see. If you're willing to get a little personal with your audience, they'll give a little, too, helping you succeed by being engaged in your presentation, and receptive to your points.

Use slides to complement your presentation; not as a crutch.

I had the opportunity to see Sheryl Sandberg speak at a breakfast last week to promote her new (and excellent) book Lean In . I've also seen videos of Sheryl's presentations at a couple other venues, and was just as impressed as I was with her speech at the breakfast. Her content was, of course, top notch. But lots of people have top-notch content. What stood out to me was the fact that she didn't rely on a single PowerPoint slide the entire time. Not a one.

Sheryl's on the far end of the spectrum -- she's a talented, practiced public speaker who has learned how to tell a compelling enough story without needing any other visual aids. Most people aren't there yet, nor do they have to be. The best presenters I saw at SMMW used slides in their presentations, but only as a complement to their content, not as a crutch. That means the slides were simple, not visually distracting, and they had very few words on them. Sometimes, no words at all.

The best case I saw of this was in a session held by Douglas Karr, author of Corporate Blogging for Dummies . His slides were largely images that were either complements (often humorous ones) to the point he just made that helped naturally transition into his next topic, or visual examples that he could speak to without requiring the audience to dissect a bunch of words on a slide.

If your audience wanted to consume this information in written format, they'd go looking for a book or a blog post. They're here to hear you speak about something, not read about it. Plus, if they're spending all their time reading your slides, they're not hearing a darn thing you're saying.

Tell a story.

I've hinted at it a couple times already, so let's just call a spade a spade. Your audience wants a story. Over and over again, I see the best speakers opting for compelling, illustrative stories over a laundry list of facts, figures, tactics, and strategies. This isn't to say you don't use the latter to support your case -- you do, and you should. Simply think of the story as the allegory for your overall thesis.

Stories are engaging, they generate empathy, and they stick with listeners; as such, your overall thesis lives on in people's minds long after a presentation is over.

Don’t keep tootin’ your own horn.

It makes sense for you to draw from personal experiences -- it’s part of letting your guard down, establishing credibility, and bonding with your audience. Furthermore, it makes sense that you draw on examples from your own life or business, because it’s the content you’re most familiar with.

But … and I mean this in the nicest way possible … shut up about yourself already.

Find examples from other people and companies to help illustrate your points and support your stories. At SMMW, for instance, the closing keynote speaker Dave Kerpen told, as I recall, only one story about himself. His keynote presentation covered seven main points, but only one point was really about him. (And it was a great story, by the way. Check out how he paid for his wedding here . Tell some stories from your own work, but find examples from other companies, too. It adds variety, which helps everyone in the audience find something they can closely relate to in your content. There are tons of people out there doing amazing things; it's good to pay it forward and share the spotlight.

Focus on inspiration over tactics.

Let's talk about the role that more prescriptive, tactical advice plays in public speaking.

I love educating people. I love giving them prescriptive advice. I love giving them tactics and strategies to walk home with that they can implement right away to see real results in their business. It's why I do what I do, and some of the content I get most excited about -- no matter what format it takes.

But while tactics are important for actually moving the needle, inspiration is what puts you in the frame of mind to actually put those new tactics and strategies into place. And when it comes to the nitty gritty, public speaking really isn't the best forum for it. When you're delivering a presentation, focus on three things, and in this order:

  • Inspiring your audience
  • High-level takeaways
  • Nitty gritty tactics for implementation

This order gets your audience excited, self-confident, and ready to implement whatever takeaways and tactics you recommend while you're speaking. Frame of mind is everything . Get people walking out of your room all bright-eyed and bushy-tailed.

( Tip: Prepare a one-sheeter with nitty-gritty tips based off your presentation. Amy Porterfield (and a few others) did this at SMMW with her presentation about using Facebook to launch a new product. It let people actually listen to her higher level takeaways, and leave the room with more detailed instructions they could take home with them.)

Slow your roll.

When you're passionate about a topic, it's easy to start talking really really fast likethissoyoucangeteverythingin.

Trust me, I get it. I do this all the time.

Slow down. To an almost comically slow pace. This is an old theater trick (I used to do Shakespeare theater; if you didn't already know, I'm a very cool person). When you're giving a presentation of any sort, you cannot speak as you would in a small group conversation. Slow it down, provide actual spaces between each word, and enunciate your syllables. It will feel ridiculous to you. But I guarantee that it will not sound ridiculous.

You'll just have to trust me on this one, guys. But I promise that your audience will appreciate that they can understand all the great content you've prepared!

Make ‘em laugh.

Finally, just make people laugh if you can. This is really more of a bonus trick, I suppose -- I've seen amazing live presentations where no jokes are cracked. But adding a sense of levity can make even mediocre presentations far more enjoyable -- probably because it really does show a willingness to be open and personable. And those are hugely likeable qualities.

The last session I saw at SMMW -- other than the keynote, which also made me laugh -- was from the previously mentioned Douglas Karr . It was hilarious. The guy is just really, genuinely funny. It made consuming the content he was presenting flat out more enjoyable. It would have been a great session without the jokes; but the humor had everyone leaving with a smile on their face. That's a pretty stellar way to leave a 45-minute session about social media reputation management.

Music has great power to support and enhance the emotion in a video presentation, and has been proven to sustain an audience’s attention and aid in information retention. Music is used in movies to suggest an emotional state to the viewer, so why not in a video presentation?

Modern, up-tempo music will snap people to attention at the right moment, while slow, minor-key sounds relax the brain, which is useful for reviewing content so it can slip more easily into long-term memory.

It can be a struggle to find good quality  royalty free music , but here at Biteable we have a selection of great royalty free tracks (or you can upload your own if you’re that way inclined).

Music is one of the most critical (and often overlooked) aspects of any presentation. Here’s a good example of a Biteable template where the music does a great job of supporting the message.

4. Visual metaphor

Research has shown that combining pictures and text is one of the best ways to help people engage with and retain information. There’s something about how our brain works that makes text by itself far less memorable, so if you can combine something visual with your message, you’ll keep people’s attention longer and they’ll remember more of your presentation.

Talking to a group of people about taking action on something that scares them? A picture of someone diving or bungee jumping could work. Telling your boss how important that company retreat is next year? Show them an image of happy, relaxed people with their toes in the sand.

It doesn’t have to be obvious and clichéd, either. Closed doors, wide open roads, and lighting a candle all have subconscious messages that you don’t really need to explain. (Whatever you do, just don’t use the ultimate cliche: the overused  ‘water ripple’ .)

5. Use questions

Questions can be a great way to open a presentation, because they encourage the audience to think for themselves. It opens them up to a realm of critical thinking, which is perfect when you’re gonna sock it to them with your impactful message.

‘Did you know 15 billion trees are cut down each year?’

‘Have you ever considered what life would be like if you didn’t have to save money?’

The art of asking questions in a presentation means you can incorporate them into your video as a great lead-in. Combined with some appropriate music, it can really get your audience thinking about the issue, and then you’ll go on to explain exactly what your solution is.

Having a laugh can really do a lot to win over an audience. There’s no need to be too serious, and even if you’re dealing with a heavy topic, lightening the mood can work wonders.

Whether you’re looking to create a funny sales video, an event presentation, or a presentation for an interview — one thing’s for sure, you can’t go wrong by including humor.

7. Repetition

Simple. Effective. Powerful.

Repetition can be used in several ways: by offering several one-word sentences in a row (the repetition is in the rhythm), or by repeating a word or a key phrase several time throughout your presentation.

In his famous Stanford speech in 2005, for example, Steve Jobs concluded by saying  “Stay hungry. Stay foolish.”

Repetition is powerful. It drives home your key message and strengthens your position.

8. Motion Graphics

Motion graphics  are basically animation with text as a major component, and is a staple of what we do at Biteable.

When you use moving graphics in a presentation, it instantly captures attention. If your audience is just taking their seats, or are halfway through hearing your story, there’s no doubt they’ll sit up and take notice if you introduce some cool motion graphics, like this Meeting Tips example.

Although they can sometimes feel clichéd, quotes are a great way to impart a message in a presentation. Want your audience to understand something complex? A quote from Einstein should do it. Or would you like to say something meaningful and poetic? A couple of lines of Shakespeare should convey some wisdom.

10. Audio narration

Narration can give a different mood to your presentation, especially if the voice is powerful and the words are heartfelt. Use it to change the tone or pace of your presentation and it will certainly keep your audience hooked if there’s a danger of them losing interest.

11. Go bright with color

Color can have a huge effect on how your video comes across. Don’t be afraid to experiment. The contrasts of black and white can be extremely effective, but you can also grab people’s attention with some carefully-chosen primary and secondary colors, like in our Motion Graphics template.

12. Use illustrations

Illustrations are a great way to communicate information, especially if you’ve got lots to say. Whether you want to create a crowd of people or a cool depiction of some new fancy gadget, illustrations can draw the eye and make your presentation more interesting.

13. Infographics

When you utilize infographics, you can pack in a huge amount of data and information without confusing your audience. Think pie charts, digital numbers, and ascending animated graphs. These can show your audience boring data in an exciting way.

14. Create interesting transitions

The one advantage of video over a standard presentation is that you can do all types of funky things with transitions, like a whip pan transition, when the camera quickly pans between scenes. It’s a bit like a wipe, but much faster. Check out our full article on transitions  here .

15. Make it look cinematic

Adding a cinematic touch can help your audience feel receptive to your message because subconsciously, they will associate these elements with being at the cinema, eating popcorn, and generally having a good time.

16. Go retro

A cool, retro look for your presentation will make it hard to ignore. By going retro, you add a little bit of cheeky style to your message. You don’t need to go  quite as retro as the template below, but taking a step back in time is a sure way to add a little bit of zing to things.

17. End on a meaningful note

Your presentation will only give your audience a lasting impression if you end it right.

It’s important to let the audience know what you want them to do next: to visit a website for more information, to ponder an idea or new direction, or to take action toward a particular goal.

An attention-grabbing visual will work really well here, along with a meaningful end to the music – a change of pace, volume, or pitch.

What’s the takeaway message? A strong CTA (call to action) will ensure your presentation is memorable and much more likely to be talked about.

A week ago, 11-year-old Kayden Ely experienced the devastating loss of his mother, Shannon Mount. Her unexpected passing didn't just leave Kayden and his four siblings without their mom, it also left the family in dire financial straits.

Desperate to raise funds for his mom's funeral, Kayden took to the streets of his small town in Georgia begging for help. For two days the heartbroken little boy stood next to the railroad tracks, holding a sign that read, "Please help me bury my mama!"

Shannon Mount, 45, went into cardiac arrest on July 8. Her boyfriend, Billy Upton, tried to save her, performing CPR on her until paramedics arrived and were able to revive her. After spending several days on life support, she passed away.

Without life insurance and unable to afford the astronomical bill of her 8 days in emergency care (never mind burial expenses) Kayden didn't have the luxury of taking time to grieve his mom.

Instead, he made it his mission to give her a proper goodbye.

Armed with his homemade sign, Kayden spent hours standing on the side of the road, praying passing motorists would notice and want to help.

Not only did community members step up and come to his aid with donations, hugs, and prayers, but they also shared the young boy's plight on social media and contacted local news stations to spread the word. They even joined him on the ground, helping him set up a hotdog stand to make more money.

But the small town giving didn't stop there. An anonymous donor contacted the family, offering to pay for the cost of a burial plot, and several local businesses put out jars to collect spare change. The funeral home, Good Shepherd, also gave the family a significant discount.

GoFundMe Campaign Raises More Than 10x the Original Goal

Inspired by Kayden's strength and determination to provide a resting place for his mom, Jennifer Grissom, his cousin and guardian, also launched a GoFundMe .

"Shannon did not have life insurance, she has an 11-year-old that is left without the only thing he ever knew," Jennifer wrote on the page.

"He has been standing on [the] side of the road for 2 days with a sign to help bury his mama."

She initially set a goal of $7,100, just enough to cover the costs of the funeral which can run upwards of $12,000 in some states.

But then the donations started pouring in. And that $7,100 quickly became $70,000. More than 1700 people have come forward to donate, all of them motivated by one singular thought: "No child should ever have to worry about paying for a funeral."

Jennifer says she plans on using the extra funds to "make sure Kayden gets to do things children his age get to do; sports, camps, etc." She's also using it to buy him clothes, school supplies, and necessities, and start a college fund.

In an update on the page, she wrote, "Today we took him to Walmart so he could get a bed set and he got a few things he needed."

Adding, "When we were leaving his aunt asked him, 'Why are you so happy' and he replied...'Me and mama didn’t have much money we were poor, and I didn’t get to go buy stuff like this' and all this baby got was a bed set, toothbrush, pillows and pillow cases. He is so thankful. Thank y'all for making him smile."

But most importantly, a grieving little boy is getting his wish. Shannon, who is described as a "straight shooter...who loved her kids fiercely" in her obituary, will be properly laid to rest at the end of the month.

Paying it Forward

To thank his community for their incredible support, Kayden decided to pay it forward.

He set up another hotdog stand, only this time instead of charging for the dogs and drinks, he gave them away for free; a fitting gesture of gratitude for an 11-year-old boy.

He also appeared in a brief Facebook video with Jennifer, thanking everyone for their donations and helping to get the word out to the community. But even more meaningful than the monetary support was the outpouring of emotional support.

"We want to thank everybody that stopped," Jennifer said. "You know, there were some people who just wanted to give him a hug or some people that wanted to pray with him and tell him they're sorry for his loss."

"Some people stopped and just wanted to help us cook hot dogs. A man stopped and he helped us hold a sign. That means so much to us, it really does."

Grief can be incredibly isolating and when you lose the most important person in your life, it's even more so.

Kayden is only 11 years old, he shouldn't have to know the devastating pain of loss. But having a supportive community will go a long way in making him feel a little less alone.

40-Year-Old Mother of 3 Goes From Inmate to Princeton Intern

Life can take us down unexpected and scary roads. Sometimes, we don’t know how to get off those roads and begin the climb to a better future. As this mom proved, however, anything is possible with a second chance and a little determination .

A Former Inmate

Mary McCrary is a 40-year-old mother of three who spent three years in prison. According to Good Morning America , she served time at the Debra K. Johnson Rehabilitation Center in Nashville for a parole violation following a conviction for aggravated burglary.

McCrary dropped out of high school in Grade 10 and has since successfully pursued her GED, but it wasn’t until prison that she began thinking about further education . She hit a breaking point behind bars and decided it was time to turn her life around.

“When you get to a point where you're tired and don’t even want to live and you're hopeless and you feel useless and worthless, you have a decision to make,” she told the publication.

“I made the decision to use this time to do something different, to change my life, because I didn’t want to keep doing the same things and getting in trouble and ... doing whatever I had to to survive because it gets you in the exact same place.”

So, McCrary enrolled in a coding class as part of the center’s Persevere program, an initiative aimed at helping inmates earn certifications as front-end or full-stack web developers.

“The class alone made you feel like you’re a human being, that I was working towards something, that there is a goal in sight, I am going to accomplish something, and I did,” she added. “That does give you confidence and hope.”

A Life-Changing Opportunity

For the next six months, McCrary earned her certificate in front-end coding. She decided to develop her skills even more by enrolling at Nashville State Community College, which offers a program for inmates.

This past May, McCrary was granted parole, completed her supervision, and earned extra credits toward an associate’s degree. But not even she could anticipate what would happen next: an internship at Princeton.

The nine-week program is meant for formerly incarcerated undergrad students to gain experience and new opportunities, and so far, McCrary is excelling.

“Her dedication to building her future is evident in how she does not shy away from challenges and the unknown,” Bridgett vonHoldt, an associate professor at Princeton and the head of the internship program said. “She is a role model, demonstrating for anyone who thinks such change is impossible that nothing is impossible.”

As for McCrary, she knows this is an incredible opportunity and hopes the internship is the next step toward earning her AA degree back in Nashville.

“This has been life-changing in more ways than one. This is an unbelievable, sometimes overwhelming experience,” she said. “If you look at my past, it's a crazy shamble mess, but look now, look what can happen. Nothing is ever impossible.”

Second Chances

McCrary hopes to be a role model for those who are having a hard time accepting the idea of a brighter future and so far, she certainly is. She’s a great example of how things can get better and you can change your future when you’re willing to take advantage of the opportunities you have — even if they don’t seem like opportunities at the time.

This story is also a needed reminder that everyone deserves a second chance in life and that sometimes, by allowing someone who has messed up the chance to try again, they may surprise you.

No one is perfect, and everyone stumbles. It’s not how hard we fall that truly matters in life; it's how we pick ourselves back up. But it’s also up to us whether we want to be the person who lends someone on the ground a helping hand or if we want to be the guy who just keeps on walking.

Steve Jobs was arguably one of the best presenters to ever grace a stage. His presentations were inspiring. In fact, every one of his speeches received a standing ovation from the audience. The secret behind his success was a series of steps he routinely followed.

I’ve developed my own steps for successful presentations—and I’m sharing all 10 of them here.

TIP ONE: STORYBOARD WITH PEN AND PAPER

Most of us are so accustomed to using computers that we forget about the benefits of using pen and paper to brainstorm and organize our thoughts. There’s something particularly helpful about drawing your ideas, organizing your thoughts and changing the order of your paper slides—all before you even touch your keyboard.

When I design my keynote presentations, I do everything on paper first. It helps me design slides and sharpen my focus.

TIP TWO: CREATE A SINGLE SENTENCE DESCRIPTION FOR EACH IDEA

Long-winded descriptions in a presentation are confusing and distracting for your audience. Instead, condense your descriptions so they are shorter than the historical 140-character tweet. Not only is this approach easier to understand, but also it’s more aesthetically attractive on a screen.

I want the focus to be on me and my ideas, so 90% of my slides are usually just one to three words.

TIP THREE: CREATE A VILLAIN

Audiences react to a force that opposes them and often lean toward a hero.  Make your services or brand the hero  and create an arch nemesis your brand can defeat. It’s a classic strategy for film and storytelling.

Consider yourself the storyteller of your brand, and create a story for your brand with a clear villain for people to rally against. The options for potential villains are endless. It could be a certain type of consumer. Maybe it’s the old way of doing things.

TIP FOUR: FOCUS ON BENEFITS

Your audience cares little about characteristics of your product or what makes your product great compared to the competition. They do care about how they will benefit from your product or service. Make sure to focus on what matters to them, not you.

In all of my presentations, I put “about the company” near the end and the benefits to the audience at the beginning.

TIP FIVE: STICK TO THE RULE OF THREE

Three is a magic number. It’s large enough to give credibility to what you are saying, but small enough that your audience can remember the points. If you go beyond three points, your audience won’t remember your message.

TIP SIX: SELL THE “WHY”

People don’t buy services; they buy the “why.” That means  they buy better lives for themselves and for those they care about. So forget your services and sell the “why” from the perspective of the consumer.

TIP SEVEN: VISUALS ARE MORE IMPORTANT

Steve Jobs never used bullet points. They are too commonplace and add little to your message. Instead, focus on images and graphics to communicate your concepts and connect with your audience. It’s proven that  people remember imagery better than they do words .

In my presentations, almost every slide is an image. Often, it’s just an image without words.

TIP EIGHT: MAKE NUMBERS MEANINGFUL

Whenever you mention a statistic, make it meaningful to the audience. The larger the number, the more important it is to place that number into context. Keep the number on the screen, but talk about it. Remember, keep the focus on you.

TIP NINE: DON’T USE JARGON

Not all of your audience is going to know your industry jargon. If you use acronyms or insider terminology, your audience will likely tune out. Instead, use plain English to ensure everyone understands you.

TIP TEN: PRACTICE, A LOT

Steve Jobs spent hours practicing  his presentations until they were perfect in every aspect. This made his presentations look effortless, though it came at the cost of hours of work.  Practice  at least 20 times—out loud. Walk like you were on stage. The more you seriously practice your part, the more confident and comfortable you will be.

Some founders and investors recommend “ranking” your investors before approaching investors. E.g. Tier 1 investors are the best fit, Tier 3 are less of a fit for your business. If you rank your investors you’ll be able to spend some of your earliest pitches on “Tier 3” (or lower fit) investors to dial in your pitch and prepare for your pitches with better fit investors later on in your fundraise.
